DEVELOPMENT ASSOCIATE/DONOR DATABASE SPECIALIST

Reports to: Director of Development and Communications

Status: Non-Exempt, Full Time

Overview

The Development Associate/Donor Database Specialist manages and maintains IINE’s donor database (Salesforce) to track financial and contact details for donors, prospects, foundations, corporations, and other stakeholders. S/he processes cash, stock, and in-kind gifts; manages IINE’s wealth screening system; and maintains the departmental performance tracker, in collaboration with finance staff.

The Development/Donor Database Specialist ensures the security and integrity of IINE’s donor data, ensures proper allocation of incoming donations, and supports the finance team to reconcile Development income. The Development/Donor Database Specialist implements, maintains and trains Development staff on the development database system. S/he leads the agency’s effort to input and export Development data for analysis, planning, and internal/external reporting. S/He will serve as lead system administrator, interpreting database capabilities and how to use them to support fundraising efforts. The Database Specialist supports other users of the system to ensure accurate input and output, technology management, access, and training.

Duties and Responsibilities

Gift Processing

  • Receive gifts in the form of cash, checks, charge cards, stock transfers, and in-kind.
  • Analyze each gift and documentation to determine the proper way to process it and research any missing information, including through outreach to the donor.
  • Receive pledges from the fundraising team, enter and maintain pledge data, produce weekly report pledges and follow-up with pledged donors as needed.
  • Enter gifts, pledges, and Development fee for service revenue in Salesforce, indicating the solicitor for each gift and appropriately coding gifts according to solicitations (e.g., appeals, events, etc.).
  • Create and update Salesforce records on a timely basis
  • Generate gift receipt acknowledgment letters, ensuring they are signed by the appropriate Development office staff member and mailed in a timely manner.
  • Flag larger gifts, ensuring that IINE leadership (CEO, CERO) is aware of significant donations
  • Generate and track invoices for corporate (event) sponsorships. Occasionally work directly with A/P departments at external companies to track down forms, payments, and information.
  • Track and document donations from external platforms (Facebook, OneCause, YourCause, Benevity, others), confirm receipt of deposit with Finance Office, enter data into Salesforce, and generate acknowledgments for those gifts.
  • Physically transfer cash, checks, charge card records, stock transfer records and other information to the Finance Office.
  • Ensure that copies of gift documentation and acknowledgement are recorded in Salesforce and filed in shared drive.
  • Coordinate daily reconciliation of online payments with Finance Office. Closely track details of online donations and payments and issue reports as necessary.

Database Management

  • Ensure that the database is continually updated; conduct regular Quality Assurance checks of donor data
  • Reconcile data imports from external applications (Constant Contact, Woofu, Eventbrite, etc.)
  • Oversee data uploads from Development staff
  • Assist with the integration of Constant Contact to ensure consistent electronic communications with stakeholders.
  • Assist with overall maintenance of Salesforce and iWave databases, troubleshoot as needed
  • Coordinate daily reconciliation of online payments with Finance Office. Closely track details of online donations and payments and issue reports as necessary.

Reporting and Data Exports

  • Generate reports upon request and offer insights on systems and strategies related to gift prospecting and acknowledgment.
  • Generate and clean data for IINE mailings (appeals, annual report, etc.)
  • Create reports of donors, prospects, and giving trends as requested by the Chief External Relations Officer and other IINE leadership
  • Create and maintain Salesforce Dashboards for CERO and other IINE leadership
  • Create and maintain Salesforce Portfolios for CERO and other IINE leadership
  • Perform other duties as assigned.

Qualifications

  • Bachelor’s degree required
  • Salesforce experience strongly preferred; Excel experience required
  • At least 2 years of nonprofit Development/fundraising experience preferred; 2+ years of other experience in a professional/office setting required
  • Systems-based thinking skills
  • Sound judgement and the ability to work autonomously
  • Excellent written and verbal communication skills; ability to interact effectively with a wide range of internal and external stakeholders
