POSITION DESCRIPTION
TITLE: Event and Conference Assistant
DEPARTMENT: Professional Development
REPORTS TO: Director of Professional Development and Member Engagement
POSITION SUMMARY: The Conference Assistant provides support for BBA Conferences, and other professional development activities, and BBA-wide events.
HOURS: Typical hours 9-5 M-F. This position does require time outside of regular business hours.
LOCATION: 16 Beacon Street Boston, MA 02108. Position is eligible for 1-2 days remote work after introductory period.

RESPONSIBILITIES:

Assist the Conference and Forum Advisory Committees by scheduling advisory committee meetings, distributing advisory committee agendas, assembling meeting material, and coordinating content deadlines

Coordinate with speakers and panelists on the collection of biographies, headshots, program descriptions, and materials for conferences and programs

Provide administrative support for the conferences and programs including customer service, issuing attendance certificates, preparing tent cards, name tags and other collateral, ensuring all materials get to off-site locations, and help oversee on-site conference logistics.

Coordinate with the Business Development staff on ensuring acknowledgement of sponsors of the conferences.

Track attendance progress of conferences and other programs and report regularly.

Provide administrative support for all major BBA events reporting to the Events Manager, including providing support for event steering committees, coordinating event logistics, handling customer service functions and data entry, tracking and producing attendance and sponsorship lists, providing on-site support.

Administrative tasks such as preparing check requests, speaker reimbursements, tracking registration purchase orders, data entry, mail merges, mailings, photocopying, and scanning.

Staff the front desk and other BBA and BBF activities as assigned.

Other duties as necessary.
SKILLS:

Some professional experience strongly preferred.

Basic level understanding of planning events and programs

Strong, organizational and project management skills

Strong communication and interpersonal skills

Exceptional attention to detail

The ability to manage multiple projects independently

Proficiency with Microsoft Office Suite is required (Word, Outlook, Excel, PowerPoint)

College degree is preferred
