The Financial Operations Analyst supports all aspects of the Division of Philanthropy’s expense processes. This position’s responsibilities include supporting the financial operations of 30+ cost centers, providing routine and ad-hoc reporting, managing the contract administration process, and organizing the annual budget. The ideal candidate for the role will balance day-to-day operational and reporting responsibilities, build effective partnerships at all levels in the Division (including senior leadership), and continuously identify areas for process improvement. The Financial Operations Analyst is responsible for gathering and distributing information to further the onboarding, growth, and impact of colleagues across the Division. The successful candidate wants to leverage their innovative spirit and passion for process excellence to make a difference in a mission-driven environment; the ideal candidate has a proven track record of collaborating effectively with partners and stakeholders across various levels of an organization. Despite the role having well-defined responsibilities, the day-to-day may vary considerably; the candidate must demonstrate strong customer-service skills, particularly while reprioritizing in the context of a fast-paced environment. The role is responsible for assisting the entire Division with reaching financial goals.

Responsibilities
- Organize the annual operating budget for the Division of Philanthropy across 30+ cost centers.
- Manage Philanthropy’s contract administration process maintaining the Division’s contracts and letters of agreement, including development of scope of services, internal signatures coordination, contract execution, transfer to Purchasing for purchase order process, and creation of sponsorship agreements for various fundraising events.
- Cross-functionally support Division of Philanthropy teams on the day-to-day execution of budget and expense related processes, including identification of expenditure trends, expense misallocations, and resolving ad-hoc requests sent to the team inbox.
- Generate monthly standardized and ad-hoc expense reports for Division of Philanthropy teams.
- Prioritize time-sensitive tasks including purchase order facilitation, staff expense reimbursement administration, purchasing card (credit card) reconciliation, and in-kind gift processing and policies.
- Liaison with the Institute’s Office of General Counsel, Accounts Payable, and Financial Planning teams.
- Collaborate across the Fiscal team, primarily with the Senior Business Operations Analyst, to identify and execute process improvement initiatives within financial operations workflows.
- Build and enhance the team’s learning culture, leading training for colleagues in the team and in the Division; enable people initiatives and enhance engagement, including by leading budget and expense review meetings, organizing new hire onboarding sessions, and developing resources such as FAQs and one-pagers to support the Division’s expense operations.
- Other related responsibilities as assigned.
- Reports to the Director of Fiscal & Regulatory Management. Has no direct supervisory responsibilities, but the position requires a considerable amount of autonomy in decision-making and completing work-related tasks.
Qualifications:
- Bachelor’s degree required, with 2-4 years of professional experience. Previous exposure to financial operations is a plus.
- Strong problem-solving skills and ability to critically evaluate findings and a strong orientation to customer service.
- Ability to work independently with superior verbal and written communication and organizational skills.
- Detailed-oriented, innovative thinker, analytical, a self-starter, and works well with a variety of personalities.
- Comfort with the Microsoft Office Suite, particularly Word, Excel, and PowerPoint, is required; experience navigating large data sets is strongly preferred.
