Basic Purpose:

The Grants Management Assistant will serve an important role in the organization's structure and will work in coordination with the Board of Directors, President, Director of Foundation Programs, grantees, and members of the Family Office to facilitate the Foundation's mission, vision, and values through a process of awarding, monitoring, evaluating, and reporting on approximately 100 grants annually.  S/he will report directly to the Director of Foundation Programs and to the Foundation Board.  S/he will assiste with managing all grant-related and foundation-related activities from initial inquiry from grant seekers to grant closure.

Essential Functions:

Grants Management:

  • Manage all aspects of grant-making for the Foundation, as guided by the Foundation's mission, vision, and values.  This includes working with current as well as prospective grantees, preview of proposals for technical compliance, preparing board meeting materials, monitoring current grants and reports, and providing grantee technical assistance as needed


  • Manage calendars for the President and Director of Foundation Programs
  • Coordinate and reserve travel for the President and Director of Foundation Programs
  • Order food and reserve meeting space
  • Complete additional administrative tasks and special projects as assigned

Job Qualification Requirements:

Knowledge/ Experience:

  • Knowledge of and experience in philanthropy and the nonprofit sector especially best practices in grant making; high ethical standards
  • Exceptional written and verbal communication skills; attention to detail and high degree of personal organization; ability to manage a fast-paced work load
  • Ability to problem solve and take initiative; exercise good judgement; demonstrate skill as a quick and adaptive learner
  • Ability to work individually and as part of a team
  • Experience using social and other media as a communication tool
  • Knowledge of current IRS regulations related to grant making, experience with web-based grants management tools, and some graphic design experience a plus
  • Compliance with and sensitivity to the confidential nature of the work
  • Occasional evening and weekend hours required

Technical/ Educational Requirements:

  • Bachelor's degree preferred
  • Minimum of 2 years' experience in a relevant nonprofit setting
  • Must be proficient in the use of the Microsoft Office suite of products, including, Word, Excel, Outlook (including calendaring function), and PowerPoint
