About the role:       

The Grants Manager is responsible for all aspects of grant administration and compliance to support PJMF’s annual $75 million in philanthropic investment, and for fostering a culture of learning and development, ensuring that staff learn from each other and from external stakeholders in the way we manage our processes and relationships with our grant partners. As a growing, technology-forward organization, the Grants Manager will have the opportunity to bring innovation and strategy as they expand upon and further build out our grants processes for the full grant cycle. This includes administering and designing the architecture for PJMF’s grants management system, providing ongoing training to new and current staff, learning from data, and creating the forms and reports that will better enable our overall infrastructure as we scale. Reporting to the Vice President of Operations, the Grants Manager will work closely across the organization, partnering with staff who have a role in the diligence, award, and administration of grant processes.     

Things you’ll do in your first year:

  • Manage the flow of grants through the grant lifecycle from concept through closeout, partnering closely with grant partners and internal staff to ensure both positive experience and compliance

  • Optimize grants management processes by continuously developing, refining, and enhancing the tools and workflows for both grant partners and internal staff alike, including maximizing the PJMF grants management system, evaluating its ongoing effectiveness, and designing a sustainable system architecture

  • Produce and distribute award letters, along with other grant partner communications, while maintaining a library of templates that support the range of PJMF grant-making 

  • Maintain electronic grant files to ensure on-going legal and financial compliance, and provide direct support to the annual audit

  • Oversee creation of and adherence to internal timelines related to grantmaking

  • Develop and maintain grants process documentation, onboarding, and training materials that can be shared with staff as appropriate

  • Provide ongoing resources and support for staff by hosting regular grantmaking skills training sessions, identifying relevant tools, articles, and other resources, and providing structured opportunities for learning across the organization

  • Work with team members to produce summary reports, ensure that accurate payments are processed for every gift, and reconcile payments in our grants management system with financial records 

  • Review requests for recognition or public acknowledgement of gifts

  • Represent PJMF in the philanthropic sector by sharing lessons and experiences

  • Prior experience managing the flow of grants through the grants lifecycle, from concept through closeout with bonus points for experience with international grantmaking 

  • Innovative mentality towards expanding our systems and tools to support a higher volume of grants as we scale our team and expand the types of grants and mission investments made

  • Knowledge of compliance and risk management related to grants administration for foundations, with the ability to research and find the answers to specific use cases

  • Passion for facilitating and developing others as well as a partnership mentality that enables the ability to upskill others in the field of grants management

  • High attention to detail with a strong analytical skill set

  • Familiarity and comfort with grants management systems (we currently use GivingData) with an interest in updating systems to advance our efficiency and effectiveness through process improvement and adopting the best technology solutions for our team

  • Advanced technological skills, including database and grants management software, and an interest in keeping abreast of new tools, and potential application in this environment

  • Genuine enthusiasm for building a better future in the digital era and ensuring that the benefits of technological advancement are shared by all

Benefits:

  • We anticipate the starting salary for this role to be $95,000, with flexibility based on the experience you bring to the role
