General Description of Responsibilities

The Housing Consumer Education Center Temporary Administrative Assistant will assist in the daily administration of various Housing Consumer Education Center functions managed by Berkshire Housing Development Corp.  The Temporary Administrative Assistant must always maintain confidentiality and conduct him/herself in a professional manner respecting the rights of other co-workers and clients/customers.  S/he must be pleasant, courteous, helpful, and accurate always in providing information requested. The Temporary Administrative Assistant must develop an understanding of the relationship this position has to the overall objectives of the company. This position requires that the flow of tasks is conducted in a manner to meet required deadlines and to allow for other staff members to meet their deadlines.  

Specific Tasks and Duties Include But Are Not Limited To The Following:

  • Performing customer service duties needed to fulfill the Housing Consumer Education Center and BHDC’s mission
  • Returning emails from HCEC inbox and HCEC hotline daily
  • Processing incoming documents & intakes
  • Entering Data in CMS (data management system)
  • Reaching out & communicating with eligible applicants and offering guidance as needed
  • Sending correspondence to applicants to inform them of their status
  • Communicating with applicants to ensure they can navigate the online system and submit completed applications or intake assessment forms
  • Administrative tasks that will require downloading information and communicating with our partner agency
  • Cross Checking HCEC Data using a daily data tracker
  • Assisting Case Manager/ Supervisor with researching information needed on applicant status and outcomes
  • Offering administrative support to the financial assistance team when needed

These duties are not meant to be all inclusive.  Other duties may be added that are associated with a position of this nature.

Job Classification:            Temporary Full Time; Support

Work Schedule:                Monday – Friday

                                           40 hours/week, 8:00-4:30 with ½ hour lunch

Requirements:                 

                    Bilingual Spanish Required

                    High School Diploma, Associates Degree Preferred

                    Customer oriented

                    Excellent verbal/written communication skills

                    Previous work in the field with individuals/families in crisis

                    American Sign Language helpful

                    Valid Driver’s License

                    Reliable Transportation

                    Excellent Word Processing Skills in Microsoft Word

                    Working Knowledge of Microsoft Excel & Outlook

                    Microsoft Office Proficiency

                    Prior Multi-task Office Environment Experience

                    Verbal and Written Communication Skills
